Objective
Infinit-O is fully committed to protecting the health and welfare of our team members and their HMO-enrolled dependents. This policy establishes the mandatory procedures for accessing primary healthcare, ensuring that all employees, together with their dependents, receive professional medical assessments to prevent workplace illnesses and manage non-emergency health concerns effectively
Scope
This policy applies to all Infinit-O Philippines Inc. team members and their declared dependents currently enrolled under the HMO plan. It covers primary care services, including but not limited to:
Acute Illnesses: Colds, coughs, fever, UTIs, and gastrointestinal issues.
Minor Injuries: Cuts, scrapes, and bruises.
Preventive Care: General wellness, lifestyle management, and reproductive health.
Administrative Support: Prescription refills, laboratory requests, and medical certificates
Standard Consultation Procedures
The "Infinit-O Doctor First" Rule: To ensure a well-documented primary care pathway and to better support your health, team members are required to first consult with an IO Doctor for any non-emergency primary care concern
Virtual Consultations: These are mandatory if you are experiencing infectious symptoms, such as coughs, colds, and fever.
In-Person Consultations: These are available for general wellness checks or when your IO Doctor determines that an on-site visit is the best approach for your care.
Referrals and External Care: We want to make sure your care is seamless, even when you need outside help:
Specialist Referrals: If advanced care is required (e.g., Cardiology, Dermatology), Team members are required to obtain formal referral from the IO Doctors.
External Physical Appointments: Team members are required to obtain a recommendation from the IO Doctors before visiting an accredited clinic or hospital to ensure consistency in their care
Personal Physicians: If you have an existing personal doctor, you must disclose ongoing treatments to the IO Doctor for proper documentation.
Emergency Protocols
In accordance with DOLE safety standards, these procedures do not apply to medical emergencies.
Definition: An emergency is a sudden, serious condition requiring immediate attention to prevent death or serious harm.
Action: Proceed immediately to the nearest hospital emergency room.
Availability and Off-Hours
Standard Hours: IO Doctors are reporting Monday to Friday (weekdays) from 8:00 AM to 9:00 PM (combination of onsite and online) and are unavailable on weekends and Philippine Holidays.
Off-Hours Care: Team members and their dependents may only visit accredited clinics/hospitals outside of the standard hours mentioned.
Administrative Requirements and Compliance
Booking Your Consultations. To ensure everyone receives the dedicated time they need, all consultations (both online and onsite) must be scheduled in advance. Please note that we cannot accommodate walk-in appointments.
For Team Members: All appointments must be scheduled easily via the InfinitCare App, which is available for download on the Apple and Google stores
Consultations for Your Dependents We are happy to extend care to your loved ones. To keep the process smooth and our office safe, please follow these guidelines for dependent care:
How to Book: Dependents cannot be booked through the app. Please schedule their appointments using the dedicated Calendly link, which is shared through internal communication channels.
General Guidelines and Compliance
Non-Urgent Inquiries: For any general, non-urgent questions, feel free to email us at infinitcare@infinit-o.com.
Attendance Policy: If you need to rest and recover, remember that a medical certificate is mandatory for any absence of two (2) or more consecutive days.
Confidentiality: Your privacy is highly respected. In strict compliance with the Data Privacy Act and DOLE standards, all medical records will be kept strictly confidential by the IO Doctors
Policy Compliance: Because this program ensures our workplace remains safe and compliant, non-compliance with this policy is classified as Insubordination or Negligence and will be sanctioned accordingly under Acts Against Operational Policies.
Roles and Responsibilities
Team Members: Are required to follow through on booked appointments and submit required documentation.
Infinit-O Doctors: Responsible for providing timely advice, issuing prescriptions/certificates, and maintaining data privacy.
Management: Supervisors must ensure their teams are aware of and comply with these consultation procedures.
HR Employee Relation Team: is responsible for the overall administration of this policy, including:
Communication: Distributing guidelines and policy updates via email and internal platforms.
Verification: Maintaining updated eligibility lists to verify HMO enrollment and dependent relationships for the doctors.
Compliance: Ensuring all procedures align with company health, safety, and data privacy standards.
Frequency
These policies apply to every instance where a team member requires primary care medical advice, ensuring a consistent and standardized approach to healthcare access for everyone.
