Leave Policy
To assist team members and immediate superiors in identifying
the types of Leaves that may occur, what provisions a team member should
consider, and which procedures a team member should complete
This policy shall apply to all team members.
3. Provision
3.1. Starting Jan 1, 2023, Leave credits will be segregated between Planned and Unplanned Leaves
3.2. TMs hired prior to Jan 1, 2023 will retain the possibility to cash convert up to 10 leave credits (up to 4 planned leaves and up to 6 unplanned leaves) based on their tenure.
3.3. TMs hired from Jan 1,
2023 onward will be able to cash convert up to 6 unplanned leave credits on an
annual basis.

Remaining
leave credits cannot be carried over for the next year.
One tenured-based leave credit will be added as planned leaves to the
planned leaves credits for every year of service, for a maximum of 5, as
follows:

All team members are earning 1.17 planned leave and 0.50 unplanned leave every month.

Leaves may vary based on the date of hire.
Only the leaves that team members accumulate each month may be used. Unless additional leave requests are approved by the immediate supervisor each month.
4. Type of Leaves
4.1. Planned leave
4.1.1. Team members must get approval 3 weeks before the desired planned leave from their immediate supervisor, regardless of the number of days before filling out the form via HR IS leave dashboard.
4.1.2. Team members who request less than 3 weeks can be disapproved or approved depending on the agreement with the immediate supervisor.
4.1.3. Team members may file leave requests via HR IS
4.2. Unplanned leave
4.2.1. Team members must get approval from their immediate supervisor for filling unplanned leave.
5. Other Types of Leaves
5.1. Maternity Leave
5.1.1. 105 days of paid leave for normal delivery and 60 days of paid leave for miscarriage. (see Maternity Benefit policy for MAT processing.)
5.1.2. Female team members may allocate 7 days leave from the 105 days leave to the father/alternate caregiver of their child.
5.1.3. Eligible for female employees regardless of their employment status.
5.1.4. The immediate supervisor must submit a form to HR ER via IO knowledegebase > Leaders issuance form > Maternity Leave Request, for documentation.
5.1.5. Leaves are not cumulative and are not convertible to cash. If unused, these leave credits are deemed waived.
5.2. Magna Carta
5.2.1. All regular employees are entitled to up to 60 days of paid leave.
5.2.2. Eligible employees must submit a recommendation from their doctor to validate and approve the filed leaves.
5.2.3. The immediate supervisor must submit a form to HR ER via the “Leaders issuance” form for documentation.
5.2.4. Leaves are not cumulative and not convertible to cash. If unused, these leave credits are deemed waived.
5.3. LOA
5.3.1. Can only be used for health reasons.
5.3.2. All regular employees are eligible, depending on the recommendation of their doctor.
5.3.3. Planned and Unplanned leave cannot be used for LOA and attendance will be filed as LWOP.
5.3.4. The immediate supervisor must submit a form to HR ER via “Leaders issuance” form for documentation.
5.4. Paternity
5.4.1. All regular male employees who are legally married are eligible for the 7 days paid leave.
5.4.2. Can be used within 30 days before or after the date of child birth.

5.5. RA 9262 or Anti violence against women and children
5.5.1. All regular female employees are eligible for 10 paid leaves.
5.5.2. Leaves may vary based on the recommendations of the court, legal concern or medical recommendation of the doctors, if applicable.
5.5.3. A police report, court order, or hearing schedule must be submitted to validate and approve the leave.
5.5.4. Leaves are not cumulative and not convertible to cash. If unused, these leave credits are deemed waived.
5.6. Bereavement
5.6.1. All regular and probationary employees are eligible for 5 paid leaves.
5.6.2. Supporting documentation must be submitted.
5.6.3. This is for immediate family (Parents, legitimate spouse, children, Parents-in-law, Siblings, Legally adopted children, and common-law partner / same gender partner) members only.
5.6.4. Leaves are not cumulative and not convertible to cash. If unused, these leave credits are deemed waived.
6. Tenure Based Leaves
6.1. Team Member who joined the organization on July 1, 2019.
6.2. Tenured based leaves will apply.
6.3. Tenured based leaves are not applicable for some accounts.
6.4. Additional-tenure based planned leaves are to be added during the leave refresh at the start of the following year.
6.5. Only the leaves that team members accumulate each month may be used. Unless additional leave requests are approved by the immediate supervisor each month.
6.6. Team members must file for planned leave at least 2 to 3 weeks before the planned date. Internal (Account mandated) policies for leave may apply based on the needs of the business.
6.7. Immediate supervisors may decline leave if the member has an unsatisfactory level of attendance (Please refer to the attendance policy) or on critical working days. (Please see “Definition of Terms”).
6.8. Team members may file unplanned leaves for sick leave. (Please refer to Definition).
6.9. Team members who will file for unplanned leave must present valid documents (Medical certificate, etc.) for the approval of the immediate supervisor.
6.10. The immediate supervisor may disapprove of unplanned leave if reasons are invalid.
7. Holiday Leaves (Philippines vs United States of America vs United Kingdom vs Canada)
7.1. Team members who are following Philippine holidays who are not reporting to work on the date of the tagged Philippine holiday no longer need to file a request because it will not count against their leave balance.
7.2. Team members who are following US, UK and CND holidays who are not reporting to work on the date of the tagged US, UK and CND holidays no longer need to file a request because it will not count against their leave balance.
7.3. Team members who are following US, UK and CND holidays who are not reporting to work on the date of the tagged Philippine holidays, no longer need to file a request because it will not count against their leave balance.
7.4. Team members who are following US, UK and CND holidays who are not reporting to work on the date of the un-tagged Philippine holidays, need to file a request because it will count against their leave balance.
8. Project based Employees
8.1. Project based employees are not eligible for paid or unplanned leave.
8.2. Leaves due to sickness or emergencies can be filed as LWOP as long as they are approved by the immediate supervisor.
9. Definitions of terms
9.1. Planned Leave
a. approved leave by the immediate supervisor.
b. Leave can be used for vacations.
c. PL cannot be used for sick leave or emergency leave.
d. Team members may seek approval from their respective Managers/Supervisors to use Planned Leave if Unplanned Leave is fully consumed.
e. Cannot be used if the team member is on suspension.
9.2. Unplanned Leave
a. approved leave for sickness and emergencies (accident, death of a family member, family member illness, medical appointments).
9.3. Leave without pay
a. Unauthorized leave
b. Personal errands
9.4. Leave dashboard
a. Available leave indicated at Allsec Dashboard
9.5. Critical working days
a. First or last day of work
b. On or after the payout.
c. Holidays (Christmas, New year, etc.)
d. High call/email volume.
10. Conversion
10.1. For conversion, a minimum of one day of leave is needed.
10.2. Conversion is only eligible for regular employees.
10.3. Conversion is based on the 2023 leave structure 3.1 – 3.2..
