1.    Philosophy

Infinit-O’s believes in creating endless opportunities for our partners to realize their full potential. The recent changes in the business landscape have shown work can be done anywhere. Infinit-O believes that as an organization we can embrace these changes and adapt the service delivery in order to provide flexibility for our team members while working to preserve the Infinit-O culture.

2.    Objective

This policy will provide processes and procedures for team members who will be working in a hybrid setup in Infinit-O. Establish norms to be observed while working remotely and when teams would gather physically.

3.    Scope

This policy covers all team members working for Infinit-O Manila, Infinit-O Legaspi, and Infinit-O Pasay, excluding contractors and consultants.

4.    Definition of Terms

Remote work is a mode of work that allows employees of an organization to perform all their essential job responsibilities from outside traditional office space. Often, remote work refers to work from home but not always.

Hybrid Is a work arrangement whereby work is done both in a remote working arrangement combined with an expected number of days to be worked in the office at regular intervals.

Hybrid Team members are employees of Infinit-O who are working in a Hybrid working arrangement.

5.    Provisions

      5.1 Hiring and Onboarding
            All team members joining Infinit-O, will go through the IO recruitment process and ensure potential Hybrid Team members have the capability to work in a Hybrid Setup.
      
      5.2 Information Security
            All Infinit-O Team Members are required to adhere to Infinit-O’s security policies at all times including but not limited to the following.
                  o Internet Usage Policy
                  o Access Control Policy
                  o Network Acceptable Usage Policy
                  o Teleworking and Mobile Device Policy

      5.3 Physical Security Remote Location
            5.3.1      Hybrid Team Members are responsible for maintaining an area in their remote location that is suitable for work.

           5.3.2      Complete the course in Moodle for 7S in the workplace and apply this in their remote setup.

            5.3.3      Complete the course in Moodle for workplace ergonomics to learn and create a safe working environment at home.

           5.3.4      Disinfect remote working location at least daily.

      5.4 Hybrid Team Members
            5.4.1      Connectivity
                  5.4.1.1      20.0 MBPS is the minimum requirement for all team members and is delivered through wired technologies like DSL or fiber.
                  5.4.1.2      The use of prepaid or postpaid cellular data plans or WIFI dongles should be limited for BCP purposes and not allowed for day-to-day use.
                  5.4.1.3    For applicants, recruitment validates connectivity prior to endorsing candidates for operations interviews.

            5.4.2      Hybrid Team Members may be monitored through video check-ins or through their computers

5.4.3      Hybrid Team members must be available for contact by the client, supervisor and co-employees directly involved in the performance of his/her duties during the hours of work, team members should be able to respond within a reasonable time frame.

            5.4.4      Failure to respond may result in disciplinary actions (Table of Offenses 3.1b)

            5.4.5      Hybrid Team Members are required to advise their supervisor if they are going on break or at any time the employee will be out of contact for more than fifteen (15) minutes.
            5.4.6      In the event of power outages, connectivity issues or any downtime, Hybrid Team Members should notify (Text messages are allowed provided the immediate supervisor confirms receipt) their respective immediate supervisor of the situation and when resumption of work has taken place.
      Hybrid Team Members will work with their supervisors on understanding team capacity and proper business continuity response. Business continuity response may include working at friends’ houses or family members where connectivity is available or going to the office.
      Downtime and travel time will be considered outside of rendered work hours.
      Business Continuity decisions made by the supervisor are considered final and the team member should comply with the decision to prevent business disruptions. Failure to comply will be subject to disciplinary actions based on Infinit-O’s table of offenses 3.1a Willful, deliberate, intentional disobedience or refusal to comply with or obey written or verbal and official or lawful orders/instructions by a superior to perform assigned tasks.

               5.4.7     Hybrid Team Members must report to the office as required by their supervisor.

   5.4.8      Hybrid Team members requesting to work more days in the office will be subject to seat availability in the booking system.

   5.4.9      Hybrid Supervisors will meet on a monthly basis to cover company updates, relevant business topics, this is ideally done in person with Operations Managers and Directors

      5.5 Meetings

5.5.1      All employees, both Hybrid and Remote are required to attend meetings periodically as deemed necessary by management. Videos are required to be turned on for remote meetings. Team members should let their leaders know in cases where videos would not be available. If an employee is unable to attend a given meeting for reasons remote or otherwise, they must notify their supervisor in advance.

5.5.2      As a general rule meetings should be conducted either as remote or in person and not a combination of both. This will allow members to take part in the meeting and avoid scenarios where participants get alienated because of their location.

      5.6 Performance Management
            5.6.1      Evaluation of Hybrid Team Member performance will include regular interaction by video and e-mail between the employee and the manager, and periodic face-to-face meetings to discuss work volume, work quality, progress on plans and problems.
            5.6.2      Information related to performance will be discussed on a regular basis at least quarterly.
            5.6.3      Details of the scores shall be made available in the Performance Management System (PMS).

      5.7 Office Workspace
            5.7.1     Hybrid Team Members will not have a personal office or workstation and would have shared access to Infinit-O’s workspace. Prior arrangement should be done before coming into the office and this should be coordinated with your respective supervisor 24 hours prior to working in the office to ensure availability of space.

5.7.2       Hybrid Team members are responsible for keeping the area they have worked in clean in compliance with 7S Policy.

      5.8   Co Working Locations
            5.8.1       Infinit-O partnered with co-working companies that have locations around the capital and around the Philippines.
            5.8.2      Co-working locations will primarily be used for face to face meet up and for BCP purposes.
            5.8.3      Prior approval of your supervisor is necessary prior for seat bookings in co-working locations
            5.8.4      In cases where the workforce manager, Operations Managers (for OPS) and SSP Manager (Admin) can allocate the seats
            5.8.5      People can use the KMC office once a month but there may be a relevant cost charged to the employee if the usage would exceed 3 every quarter.

      5.9   Face to Face Gatherings

5.9.1      Infinit-O will be requiring team members to be vaccinated or to have a negative PCR test done 48-72 hours prior to meeting their respective team face to face as required. Relevant cost of testing will be shouldered by the team member.

5.9.2      During time at the office, the Team Leaders will ensure that there is time planned for team members to be involved in activities apart from the usual day to day work such as knowledge sharing sessions, team building, team lunch, 1 on 1’s, meet new team members, etc. Hybrid team members may take advantage of negotiated rates with partner locations to help alleviate the need to travel back and forth.

      5.10 Compliance with Policies

5.10.1     Hybrid employees remain obligated to comply with all company rules, practices and instructions as applicable.

      5.11Hours of Work

5.11.1 The amount of time the employee is expected to work per day or pay period will not change as a result of Hybrid Work. The schedule of work is typically dictated by our client requirements.

      5.12Attendance and Time Keeping

5.12.1 Hybrid Team Members are required to time in/out using the Web-bundy functionality of Infinit-O’s payroll system. Employees are expected to time in before their work shift starts and time out after the work shift ends. The Employee must not leave their post for longer than the allowable break times without prior

approval from the immediate supervisor. Every employee is expected to follow the Attendance Policy.

      5.13Equipment/Tools

5.13.1 Work equipment will be determined on a case-by-case basis. This may include company provided equipment or employee provided equipment (BYOD).

5.13.2 Out-of-pocket expenses for supplies will only be reimbursed if prior approval was secured from the Operations Manager subject to approval matrix.

5.13.3 The use of equipment, software, data supplies and furniture when provided by the company for use at the remote work location is limited to authorized persons and for purposes relating to company business. The company will provide for repairs to company equipment, if needed. If the employee uses her/his own equipment, the employee is responsible for maintenance and repair of equipment.


      5.14      Site Inspections and Site Requirements

5.14.1      The company has the right to make on-site visits (with 24 hours advance notice) to the remote work location for purposes of determining that the site is safe and free from hazards, and to maintain, repair, inspect, or retrieve company-owned equipment, software, data or supplies.

5.14.2      The hybrid team member shall designate a workspace within the remote work location for placement and installation of equipment to be used while working remotely. The hybrid team member shall create a safe workplace to work in that is free from hazards and other dangers to the employee and the equipment.

5.14.3      Any company materials taken home should be kept in the designated work area at home and not be made accessible to others.

5.14.4      Hybrid Team Members will receive a fixed allowance to cover the cost of purchasing the computer over a 4-year period.

5.14.5      Hybrid Team Members will be required to install Infinit-O applications in the computer to help protect information that will be processed using the computer.

5.14.6      6 months prior to the end of the 4-year life of the computer period, Hybrid Team members will be notified that their computer is due for refresh and that the computer would have to be replaced to meet the latest minimum requirement.

5.14.7      The old computer will then be wiped clean by IT and may be used by the team member for any personal use or sell the machine.

      5.15      Personal Safety

               5.15.1      Hybrid Team members are responsible for safety in the remote working location.

      5.16      Insurance and Safeguarding of Assets

Hybrid Team members are encouraged to take up homeowner’s insurance to cover the cost of company equipment that will be deployed on their remote work locations.

      5.17      Liability
            Hybrid Team Members have full control over their remote working locations as such, Infinit-O will not be liable for any loss, destruction, or injury that may occur in the remote working location.
