1.0 Objective
To guide the team members in cases of failure to log in and/or out using the biometric system.
2.0 Scope
This policy shall apply to all team members.
3.0 Provisions
3.1 Failure to log in or out may occur in cases when the biometric device is defective or when the team member forgets to do so.
3.2 The Failure-to-Swipe (FTS) electronic form is filed to complete a time pair arising from incomplete attendance transactions. This form is monitored by HR and should be used judiciously.
3.2.1 The team member must provide proof of presence such as Proximity Records or Network Badge. You may get the proximity details from the Proximity Logs that our system automatically puts in your MyHR Account.
3.3 The team member must file an undertime or half day leave, whichever is applicable, should the team member is unable to show proof of claimed log in or out.
3.4 If the team member has no more leave balance or is a temp/trainee is on No-Work, No-Pay status, the team member will not be paid for the subject day and must file LWOP.
3.5 The presentation of proof is not required if a system error is declared by the IT Head.
4.0 Responsibility
4.1 Team member is responsible for filing the FTS using myPayroll System.
4.2 Primary or Secondary approvers are responsible for verifying such filing before approval.
4.3 HR-ER Team is responsible for conducting random audits on such filing by the team member and approval by Primary or Secondary approvers.
4.4 HR-ER Team is responsible for final attendance checking.
5.0 Frequency
5.1 As soon as Payroll Reminder from F&A team is received.
5.2 As soon as FTS occurs.
